What to Confirm About Export Packaging Before Ordering From a Chinese Supplier
A practical guide for overseas buyers who need to turn packaging from a late-stage assumption into a clear supplier conversation before a purchase order is approved.

Why packaging should be discussed before the order
Packaging is often treated as a final detail after the product and price are agreed. In practice, it can affect carton size, freight planning, labeling, damage risk, minimum order quantity, sample approval, and the production timeline.
The buyer does not need to know every packaging answer at the first conversation. The useful step is to identify which decisions are standard, which are optional, and which still depend on the destination market or product use case.
Start with the product's actual journey
Ask the supplier to describe the standard inner pack, master carton, protection method, carton dimensions, gross weight, and any normal export markings. Then compare this with how the product will be handled after arrival: warehouse storage, retail display, e-commerce fulfillment, installation, or onward shipping.
A product can be well made and still arrive with avoidable packaging problems if the packaging was designed for a different handling path. The aim is not to demand a custom solution by default, but to make the assumptions visible.
Confirm the points that change cost or timing
Custom printing, color boxes, inserts, barcode placement, language requirements, warning labels, drop-test expectations, pallet requirements, and mixed-carton rules may change cost, lead time, or MOQ. Ask which of these the supplier can support, what files they need, and when the final artwork or instructions must be approved.
Avoid treating a packaging image in a catalog as the final specification. It may be an example, a previous customer's version, or a standard option that does not match your order.
Create a packaging approval record
Before production, keep a short written record with the packaging version, material or protection method, label information, carton configuration, approval owner, and unresolved items. Attach photos or a packaging sample where practical.
MAX Sourcing Context can help buyers turn unclear packaging questions into a supplier-ready checklist and read the China-side response before samples, RFQs, or production discussions move further.
Practical checklist
- 01Request the supplier's current inner-pack and master-carton details.
- 02Check carton dimensions, gross weight, handling route, and protection method.
- 03Clarify whether labels, barcodes, inserts, or artwork are standard or custom.
- 04Ask what will change MOQ, price, lead time, or sample timing.
- 05Confirm which file version and packaging version are approved for production.
- 06Keep open packaging questions visible before the purchase order is released.
