What to Check Before Sending an RFQ to a Chinese Supplier
A practical checklist for overseas buyers preparing product requirements, supplier questions, and comparison criteria before requesting quotations from Chinese suppliers.

Short answer
Before sending an RFQ to a Chinese supplier, buyers should clarify the product use case, specification, target market, expected quantity, packaging needs, compliance expectations, sample logic, and the decision criteria that will be used to compare quotations.
An RFQ is not only a request for price. It is a way to test whether the supplier understands the project, can ask useful follow-up questions, and can provide information that helps the buyer reduce risk before samples or orders.
Clarify the product before asking for price
Buyers often ask for quotations too early. If the product requirement is vague, suppliers may quote different materials, packaging standards, tolerances, accessories, or testing assumptions, which makes the final comparison unreliable.
A stronger RFQ starts with the product category, application, target buyer, expected quality level, required variants, packaging format, and any non-negotiable constraints. Even when the buyer does not know every technical detail, the intended use case should be clear.
Make quotation conditions comparable
MOQ, lead time, sample fee, tooling cost, payment terms, incoterms, packaging, carton details, inspection expectations, and validity period should be requested in a consistent format. Otherwise, the lowest price may simply hide different assumptions.
For early-stage projects, the goal is not to force every supplier into a final contract format immediately. The goal is to make the first round clear enough to decide which suppliers deserve deeper discussion.
Ask questions that reveal supplier fit
Useful RFQ questions ask whether the supplier has made similar products, which materials or processes are common, what usually affects cost, what documents are available, what needs to be confirmed before samples, and what information is missing from the buyer's request.
A supplier that can explain trade-offs and missing details may be more useful than a supplier that only returns a fast price. Early communication is part of the supplier comparison.

Practical checklist
- 01Define product category, application, target market, and buyer type.
- 02Clarify expected quantity, order stage, and whether this is trial, repeat, or development work.
- 03Specify materials, dimensions, color, packaging, labeling, and acceptable alternatives where possible.
- 04Request MOQ, lead time, sample process, sample fee, tooling cost, payment terms, and incoterms.
- 05Ask what documents, certificates, test reports, or export-market references are available.
- 06Ask the supplier what information is still missing before an accurate quotation can be prepared.
- 07Compare suppliers by assumptions, communication quality, and suitability, not only by unit price.
